This policy explains how Stodl Ltd, trading as STODL AI, handles personal data collected through stodl.ai. It is maintained by Stodl Ltd and describes our current practices for the enquiry form, the AI Academy pages, and email contact. It is not a legal opinion or an independent audit.

1. Who we are

Stodl Ltd is the controller of personal data submitted through this website. For any privacy question, contact us at hello@stodl.ai.

2. What we collect

We only collect what you choose to send us. Through the enquiry form on this site that is your name, work email address, company name, an optional phone number, the focus area you select, how urgent the problem is, and any description you write in the free text field. If you email us or book a call, we hold the contents of that message and your booking details.

Our servers and hosting provider also process standard technical information such as IP address, browser type, and timestamps in order to serve pages and protect the form against automated abuse.

3. Why we use it

We use enquiry data to reply to you, understand what you need, prepare for an introductory call, and deliver services or Academy sessions you ask for. We use technical data to keep the site available and secure. We do not sell personal data and we do not use it to train AI models.

Our lawful bases are your consent when you submit the form, our legitimate interest in responding to business enquiries and securing the site, and performance of a contract where we go on to work together.

4. Who processes data on our behalf

Enquiry submissions are stored in our hosted application database and a notification is emailed to our own inbox through our email delivery provider. Calls are booked through Calendly, which handles your name, email, and chosen time slot under its own privacy policy. These providers act as processors for us and are not permitted to use your data for their own marketing.

5. Cookies and analytics

This site does not use advertising cookies or cross-site tracking pixels. Any cookies present are strictly necessary for the site and its hosting platform to function. If we introduce analytics in future, we will update this page before doing so.

6. How long we keep it

Enquiry records are kept for as long as needed to follow up and for our business records, and reviewed periodically. If an enquiry does not lead to work together, we delete or anonymise it once it is no longer relevant. Records connected to a contract are kept for as long as required for accounting and legal purposes.

7. Security

The site is served over HTTPS, form submissions are validated and rate protected, and access to the enquiry database is restricted to authorised Stodl Ltd personnel and the application itself. No online service can be guaranteed completely secure, so please do not send sensitive personal information through the enquiry form.

8. Your rights

You can ask us for a copy of the data we hold about you, ask us to correct it, ask us to delete it, object to how we use it, or withdraw consent at any time. Email hello@stodl.ai and we will respond within one month. If you are in the UK and are unhappy with our response, you can complain to the Information Commissioner's Office.

9. Changes

If we change how we handle personal data, we will update this page and revise the date above. Material changes affecting existing clients will also be communicated by email.
